Understand Scheduling Settings

WorkEasy's scheduling settings give managers powerful tools to streamline shift planning, improve coverage, and personalize the employee experience. Here's a quick overview of each setting in the Global Settings > Scheduling menu.

Alerts

Set up automated notifications to stay informed about critical scheduling events, such as unfilled shifts or publishing deadlines. You can target alerts to managers or employees and choose how they're delivered: email, mobile, or in-app.

Coworkers

Define who employees can view as their coworkers on the schedule. Options include showing only those working in the same location or with overlapping shifts.

Recommendation assistant

This tool suggests which employees are the best fit for a shift, using smart rules like availability, seniority, and attendance patterns.

Recommendation periods

Choose how far back the system should analyze employee history: short-term (3 months), medium-term (12 months), or long-term (5 years).

Recommendation rules

Customize how employees are scored for scheduling recommendations. Use built-in rules (e.g., fewer absences, more availability) or create your own based on your business needs.

Schedule criteria

Decide what information you want to use when creating schedules—like location, department, or position—and organize it in one to three levels.

Schedule plans

Create calendars that define scheduling behavior. Control whether employees can swap shifts, drop shifts, or select jobs, and choose which workflows to use.

Shift preferences

Let employees set their preferred and maximum hours. Enable shift reminders to notify them about upcoming shifts.

Shifts swap & drop

Allow or restrict shift trading. Apply rules to the whole company or narrow it down by group or individual.
