The Show time off coworkers to platform setting controls who can view coworker time-off information within the Time Off and Schedules features. This helps tailor visibility according to your organization’s culture, privacy preferences, and scheduling needs.

Go to Platform Settings > Platform Configuration > Time Off > Show time off coworkers to.

This setting determines who can view coworker time off in the following areas:

  • Time Off > New Time Off Request Form

  • Time Off > View Pending or Approved Requests

  • My Portal > Schedules

  • Manager Portal > Time Off > Request

Setting Options and Their Behavior

1. Employees Only

  • Employees can view coworker time off conflicts when creating or reviewing requests.

  • Managers will not see coworker time off information.

  • Employees will see:

    • Coworkers’ names on the request form

    • Avatars, time off status, and overlapping dates when reviewing a request

    • Approved coworker time off cards in Schedules

2. Managers Only

  • Only managers can view coworker time off conflicts.

  • Employees will not see any coworker information.

  • Managers will see:

    • Coworkers’ names when creating requests for employees

    • Avatars, status, and overlapping dates when reviewing requests

    • Approved coworker time off cards in Schedules

3. Both Employees and Managers

  • Both roles will see coworker time off details.

  • Behavior combines features of the previous two settings:

    • Request forms show overlapping coworkers

    • Requests include coworker avatars, statuses, and dates

    • Approved coworker time off cards are shown in Schedules

4. Do Not Show

  • Coworker visibility is disabled for both employees and managers.

  • Request forms and approvals won’t show coworker data.

  • Schedules will display only the user’s or employee’s own time off

Note: The Show Time Off Coworkers To setting applies to both the web and mobile apps. The same visibility rules described in this article determine what employees and managers see in the mobile interface when creating, viewing, or approving time off requests.

“Show time off coworkers to: Managers only” Setting

When set to Managers only, coworker visibility behaves as follows.

Employee Portal

  • New request: Coworkers section is hidden. No conflict indicators or messages are shown.

  • View pending or approved requests: Coworkers section is not displayed.

  • Schedules: Coworker time off cards are not shown.

Manager Portal

  • New request (on behalf of an employee): Coworkers section is visible. If conflicts exist, each overlapping coworker’s full name is shown. If no conflicts exist, the message All clear for those dates! is displayed.

  • View pending or approved requests: If overlaps exist, show avatar, full name, time off status, and overlapping date(s). If no overlaps exist, show No coworkers have time off with {Employee Name} during this period.

  • The coworkers section within an employee’s schedule is controlled by the Coworkers privilege under My Portal > Schedules in the user’s security group. If this privilege is disabled and the Show Time Off Coworkers To setting is configured as Both Employees and Managers or Employees Only, the employee will not see any coworkers in their schedule.

Best Practices

  • Employees Only: Helps coworkers coordinate schedules with limited managerial visibility

  • Managers Only: Useful when only managers should review potential conflicts

  • Do Not Show: Ideal for strict privacy-focused policies

  • Both: Best for promoting transparency and team collaboration
