FAQ About the New Experience

Prev Next

What is the new employee experience?

It's a refreshed version of the employee experience inside the WorkEasy and WorkEasy.team mobile apps. It's a cleaner, more intuitive way to handle everyday tasks like clocking in and out, checking your timesheet and schedule, and requesting time off.

What's changing for me?

Once you update the app, you'll see a refreshed home screen, updated navigation, and a smoother flow for everyday tasks. Your account, your data, and everything you already use the app for stay exactly the same. What's changing is the experience around them.

Do I need to do anything?

When the redesigned experience launches, just update your existing WorkEasy app to the latest version from the App Store (iPhone) or Google Play Store (Android). Once you've updated, the new experience shows up automatically the next time you open the app.

What happens if I don't update the app?

You'll keep using the current experience for now. When you're ready for the new experience and everything that comes with it, just update to the latest version.

Will my username and password change?

No. Your existing email and password will keep working exactly as they do today.

Getting the app and signing in

How do I get the new experience?

Open the App Store or Google Play Store, search for WorkEasy or WorkEasy.team, and tap Update (or Install, if you don't have the app yet). Open the app once it finishes updating. For more detail, see Get Started with the Redesigned Mobile App.

How do I log in?

Open the app, enter your WorkEasy username and password, and tap Sign In. If your device supports it and you've turned it on, you can also sign in with biometrics (fingerprint or face).

I can't log in, what should I do?

First, make sure you're on the latest version of the app and using your current WorkEasy email and password. If you've forgotten your password, use Forgot password? on the sign-in screen to reset it. Still stuck? Contact your manager or administrator. See Log In (Web & Mobile) for step-by-step help.

Permissions and location

Why is the app asking for permissions when I open it?

After you update, the app may ask you to complete a few one-time prompts, like allowing notifications or location access. These help the app work correctly for your role and your employer's settings.

Do I have to allow location access?

It depends on your employer's settings. Some employers require location access for mobile clocking, so if that's the case for you, you'll need to allow it to clock in and out from your phone. Not sure if this applies to you? Check with your manager or administrator.

Everyday tasks

How do I clock in, clock out, and take breaks?

From the home screen, tap Clock In. If prompted, select the right job, location, or shift, then confirm. Use Start Break and End Break to record breaks, and tap Clock Out at the end of your shift. See Clock In, Clock Out, Take Breaks, and Transfer Jobs.

Can I clock in using a QR code?

If your employer uses QR code clocking, you can scan the code from the app to clock in. This is a newer capability in the new experience, so if you don't see it, your employer may not have it turned on yet.

How do I view my timesheet, add time, or approve it?

Tap Timesheet in the navigation bar to see your worked hours and punch details. You can add missing time and approve your timesheet from the same place, if your employer allows it. See Manage My Timesheet.

How do I view my schedule?

Tap Schedules to see your upcoming shifts and shift details. See Manage My Schedule.

How do I swap or drop a shift?

If your employer has shift swapping and dropping turned on, you can request to swap or drop a shift right from the Schedules area. Your manager, or the employee affected, gets notified as part of the process.

How do I request time off?

Tap Time Off to see your balances and submit a request. Choose the type and dates, then submit. Your request stays Pending until it's approved. See Manage My Time Off Requests.

How do I select or transfer to a different job?

When you clock in, you can select the right job if you're prompted. Need to move to a different job mid-shift? Use the transfer option. See Clock In, Clock Out, Take Breaks, and Transfer Jobs.

How do I manage my profile, documents, or settings?

Open More to update your profile and personal information, view and upload documents, set shift preferences, and manage settings. See Manage My Profile, Documents, and Settings.

For managers

I'm a manager, does this change my experience?

Not right now. Managers will keep using the current manager experience. This first rollout focuses on the employee side, so nothing changes in how you manage your team.

I have both employee and manager access, what will I see?

If you have both employee and manager access, you'll continue using the current mobile experience for now. We're introducing the updated employee experience first and plan to bring an updated experience to managers in the future.
