Training permissions, or privileges, determine whether users can access assigned training, manage training, and review employee completion records. Assign the appropriate privileges through a security group based on each user's responsibilities.
Before you begin
Make sure:
You can access User Access → Security Groups.
You know which users need to manage or complete training.
You understand the employee groups the security group should be able to access.
Security groups control two separate aspects of access:
Privileges: The actions users can perform.
Group scope: The employees users can view or manage.
A user may have the required Training privileges but still be unable to view an employee if that employee is outside the security group's assigned scope.
Recommended permissions by responsibility
User Responsibility | Recommended Training Access |
|---|---|
View and complete assigned Training | My Portal → HR Data → Training |
View employee Training records | HR Data Management → Training → View Employee Training, with the appropriate employee group scope |
Review uploaded proof or manager-verified completion | Training review access and the appropriate employee group scope |
Create, edit, categorize, assign, or archive Training | HR Data Management → Training → Manage Training |
Manage all Training workflows | HR Data Management → Training → Manage Training and View Employee Training, with the appropriate employee group scope |
The exact combination of privileges may vary according to your organization's security-group design.
