Pick Up an Open Shift as an Employee

Use My Schedules in the WorkEasy web or mobile app to find and request available open shifts. Depending on your organization’s pickup process, you may receive the shift immediately or wait for manager approval.

Before you begin

To view and pick up an open shift:

  • You must have access to My Portal and My Schedules.

  • You must belong to the workforce covered by the applicable Schedule Plan.

  • The open shift must be published and have at least one available position.

  • You must meet the opening’s current requirements.

You do not need access to the administrative software to use employee scheduling features in My Portal.

Find an open shift

  1. Sign in to My Portal using the WorkEasy web or mobile app.

  2. Open My Schedules.

  3. Open the Open Shifts tab.

  4. Browse the available open shifts.

  5. Select an open shift to review its details.

Review the open shift

Before requesting the shift, review the available information, including:

  • Date

  • Start and end times

  • Location

  • Department or position

  • Break information

  • Notes or other requirements

Important: Confirm that the open shift does not conflict with another assigned shift or a personal commitment.

Request or accept the open shift

  1. Select the available pickup action for the open shift.

  2. Review the confirmation information.

  3. Submit the request.

  4. Review the message confirming whether the shift was assigned or submitted for approval.

The action name and result depend on the pickup workflow configured by your organization.

Check the request status

If the shift requires manager approval:

  1. Open My Schedules.

  2. Open the Applications tab.

  3. Find the open-shift request.

  4. Review its current status.

If the request is approved and the assignment is completed, the shift appears with your assigned shifts in My Schedules.

Note: An application waiting for approval does not mean the shift has been assigned. Continue to check its status in the Applications tab.

If you cannot see an open shift

An open shift may not appear if:

  • The manager saved the opening but did not publish it.

  • Another employee filled the last available position.

  • You are not included in the applicable Schedule Plan.

  • Your current group assignments do not match the opening’s Schedule Criteria.

  • The opening is restricted to specific employees.

  • A scheduling or compliance requirement prevents the opening from appearing.

Refresh the Open Shifts tab. If the opening still does not appear, contact your manager.

If you cannot pick up an open shift

You may be unable to complete the request if:

  • The last available position was filled after you opened the shift.

  • The shift overlaps one of your assigned shifts.

  • You already submitted an application.

  • Your employee or scheduling information changed.

  • You no longer meet an applicable requirement.

Refresh the Open Shifts tab and review the message displayed by WorkEasy. Contact your manager if you need help with a specific opening.
