Use Shift Planner to record work that needs coverage and publish it through your organization’s configured process.
Before you begin
Before creating an open shift, confirm that:
You can access the correct Schedule Plan and Shift Planner.
The Schedule Plan includes the correct workforce and Schedule Criteria.
The required date, time, criteria, and number of workers are known.
Any shift template you plan to use has already been created.
Your available options and approval steps may differ based on your permissions and the workflows configured for the Schedule Plan.
Create an open shift
Open Scheduling and select the correct Schedule Plan.
Open Shift Planner.
Find the date and Schedule Criteria row where coverage is needed.
Select the control for adding an open shift. You can also drag an available shift template into the grid.
Enter the start and end times.
Confirm the Schedule Criteria that describe the work.
Enter the number of workers needed.
Add any available break, job, color, template, or note information required by your organization.
Save the open shift.
Choose the number of workers
Use the worker count to represent identical openings that have the same date, time, and Schedule Criteria.
Example: If three medical assistants are needed from 8:00 a.m. to 4:00 p.m. at the same clinic, create one open shift that requires three workers. If a radiologic technologist is also needed, create a separate open shift because the Position criterion is different.
Create separate open shifts when the time, location, position, qualification, or another requirement differs.
Use a shift template
A shift template can prefill frequently used information, such as the start and end times, break, Schedule Criteria, color, and notes.
After adding a template to the Shift Planner grid, review the date, worker count, and any event-specific information before saving the open shift.
Review the open shift
Before publishing, confirm the following information:
Schedule Plan
Date
Start and end times
Required Schedule Criteria
Number of workers needed
Break and note information
Any displayed warnings or compliance information
Publish the open shift
Select the saved open shift or the intended group of open shifts.
Select Publish.
Review the selected open shifts and confirm the action.
Complete any approval step required by the Schedule Plan.
Verify that each open shift reached the expected published status.
Monitor the number of positions that remain open.
Important: Saving an open shift does not publish it. Employees cannot act on a standard open shift until it enters the configured publishing and filling process.
Publish multiple open shifts
Where bulk publishing is available, select multiple open shifts and publish them together. Confirm that every selected opening reaches the expected status before leaving the page.
Large selections may take additional time to process.
What happens after publishing?
The published opening enters the filling process configured for the Schedule Plan. Depending on that configuration:
Eligible employees may see the opening under My Schedules > Open Shifts.
Employees may request or accept the open shift.
A manager may need to review applicants or approve a request.
A manager may assign an employee directly.
Assisted scheduling may be available to help fill the opening.
As employees are assigned, Shift Planner displays the number of positions that remain open.
Important: Publishing an open shift and publishing an assigned employee shift are separate actions. Completing one process does not automatically complete the other.
