Integrate SAP SuccessFactors with WorkEasy

This guide provides step-by-step instructions for integrating SAP SuccessFactors with WorkEasy Software. It covers key configuration areas such as data mapping, employee synchronization, and punch setup. To ensure a smooth integration, follow the steps outlined below.

Prerequisites

  1. Obtain SAP SuccessFactors credentials from your SAP account manager: https://support.sap.com/en/contact-us.html

  2. Set up your group structure in WorkEasy as this example shows:


Connect to SAP SuccessFactors

  1. Go to Global Settings > Integrations > SAP SuccessFactors.

  2. Click Start.

  3. Enter the credentials provided by your SAP account manager.

  4. Click Connect.

Once connected, you can:

  • Map data

  • Synchronize employees

  • Configure punches and hours

  • Synchronize all


Initial Configuration > Data Mapping

Map SAP SuccessFactors fields to WorkEasy fields according to your company’s setup. Once done, click Next.

Note: WorkEasy fields may not match SAP’s field names directly. Refer to SAP documentation: Mapping of SuccessFactors Fields for Employee Data to SAP ERP for guidance.

Pay period mapping

Set the default Employment Type and Pay Period Frequency for imported employees. These settings can be adjusted later in each employee profile within WorkEasy.

Advanced Mapping Options

Imported employees are saved by default as Full-Time, Hourly Non-Exempt, with no pay rate. You may update this in each employee's profile or configure advanced mapping settings to set defaults for Employment Type Compensation

Organizational groups mapping

By default, Location is auto-mapped (required by WorkEasy). To map optional details such as Company, Department, Division, and Business Unit, select Yes.





Synchronize employees

Decide whether to import:

  • All employees (default)

  • A specific group of employees (by Location, Department, Division, Company, or Business Unit)

WorkEasy matches employees using the Employee ID. If an imported employee already exists, no duplicate profile will be created.

Behavior for existing employees

  • Yes (default): Updates demographic details in WorkEasy to match SAP

  • No: Retains current demographic data in WorkEasy and ignores SAP changes


Configure punches and hours

⚠️ Important: Punches are calculated in SAP SuccessFactors.

  1. Request the list of punch types from your SAP account manager.

  2. Enter the SAP SuccessFactors punch types in the appropriate fields.

  3. Click Save.


Synchronize all details

  1. Click Synchronize to complete the integration process and pull in all configured data.

  1. A confirmation message displays.


  2. Click the notification, then Details.


  3. A summary shows the synchronization details.


  4. Once profiles are updated, the Employee List will reflect the new employees.
