Enable Employees to Clock In & Clock Out (Web & Mobile)

Use Time Tracking Reporting Hours settings to define how employees clock in and out using the web or mobile app. You can customize shift rules, time codes, geolocation, device restrictions, and IP limitations to match your company’s policies. Simply follow the steps below to configure settings by company, group, or employee.

Web App

  1. Click Global Settings > Time Tracking > Reporting Hours.

     

  2. Click Company, Group, or Employee.
    The related fields and checkboxes appear to the right of the screen.

  3. Enter a Rule Name.

  4. Select an Effective Start Date. This defines when the rule should go into effect.

  5. Under General:

    1. For the Clock In/out type, select User Selection or Quick Punch. If you select User Selection, users can select Clock In, Clock Out, and Start Break. If you select Quick Punch, users aren't assigned a break, and IN or OUT is automatically allocated. 

    2. Select the Max Shift Length time and the Max Rest In A Shift time.

    3. For overnight employees, under Daily Hours Allocation, select the type of hours allocation: Leading Day, Where Hours Fall, Training Day, or Day With More Hours

    4. Select an applicable option for Default Time Code

    5. If desired, you may select if Employee Comments or Manager Notes are mandatory.  
       

Mobile App

  1. Under Employee Reporting Method, select the Mobile Clock In/Out checkbox. 

  2. Under Mobile Clock In/Out, select the applicable settings. The table below describes the different settings. Click Save.

Photo Required

Records a photo associated with the employee's clock in/out punch

Enable Geolocation

  • Geolocation Tracking (Optional) - Record the geolocation of devices if the location services are enabled.

  • Geolocation Tracking (Required) - Employees must have the location services enabled on their mobile devices to clock in/out.

  • Enforce Geofence - Employee must be within the specified Geofence to clock in/out.

  • Allow / Flag Unauthorized Geofence - Employee punches outside of an assigned geofence are allowed but flagged.

Restrict By Device (IMEI or ID)

Records the IMEI or ID of a device used to clock in/out. This is a unique address associated with the device. Once the IMEI or ID is recorded, the system enforces it.

Important❗

Allowing and restricting IMEIs and IDs is done at the employee level. Make sure not to restrict the whole company to one mobile device.

Allowed IMEI or ID (Optional)

Enter IMEI or IDs of mobile devices to restrict usage to those devices.

Web App

  1. Follow all the steps above.

  2. Under Web Clock In/Out, select one of the two options for Clock In/Out IP Limitation.

    1. If you select Allow All IP Addresses, click Save.

    2. If you select Allow Certain IP Address, click the Deny radio button or the Allow/Flag unauthorized IP radio button for Non-listed IP Address.

    3. Enter the Authorized IP Addresses.

    4. Click Save.
