Configure Out-Of-Shift (OOS) Work or Unplanned Work (USCH) Time

Use Attendance by Schedule to decide how the system classifies and approves time that falls outside a published schedule. You can automatically approve two categories independently: unplanned hours and out of shift. This article explains prerequisites, where to configure the rules, what each option means, and the full list of selectable time codes.

Prerequisite

The option to choose the Out of Shift time code must be enabled. This setting allows the “Automatically approve Out of Shift as” dropdown to appear in Scheduling configurations. If it’s ever disabled, out-of-shift rules will not be available.

  1. Go to Global Settings > Platform Settings > Platform Configuration.

  2. Select Time and Attendance.

  3. Confirm Enable the option to choose the Out of Shift time code is selected.

Where to configure

  1. Go to Global Settings > Time Tracking > Attendance by Schedule.

  2. Select a scope: Company, Group, or Employee. Then add (or edit) a rule.

  3. Enter a clear Rule Name and choose an Effective Start Date (or keep Immediate).

  4. Set the two approval options and any additional settings you need (as seen below).

  5. Click Save.

  6. Open Unplanned Hours & Out of Shift and choose how each category should be handled.

Unplanned Hours & Out of Shift

This section contains two separate controls. Configure each one based on your policy.

Automatically approve Unplanned Hours as

  • If selected, hours worked without a scheduled shift are automatically approved and posted with the chosen time code.

  • If not selected, the system records the time and leaves it for manual review. The time is classified as Unplanned Work (USCH) until changed.

Automatically approve Out of Shift as

  • If selected, time worked before the scheduled start or after the scheduled end is automatically approved and posted with the chosen time code.

  • If not selected, the system records the time and leaves it for manual review. The time is classified as Out of Shift (OOS) until changed.

Selectable time codes

The dropdown lists include the following time codes. Worked Hours (WH) is selected by default.

  • Automatic Break (AB)

  • Break Paid (BP)

  • Break Penalty (BPEN)

  • Break Taken (BT)

  • Comp Time (CT)

  • Double Time (OT2)

  • Evening Shift Differential (ESD)

  • Extended Break (EB)

  • Holiday (HOL)

  • Missed Break (MB)

  • No Break (NB)

  • No Show (UPA)

  • Out of Shift (OOS)

  • Overtime (OT1)

  • Paid Time Off (PTO)

Additional options in the same rule

Grace periods

Define the window that will not be counted as early or late.

  • Early arrival and late arrival grace

  • Early departure and late departure grace

Enter values in h:mm or m:ss. Grace settings work with your approval choices above.

Auto clock in/out

  • Auto clock-in after schedule start: creates a clock-in at the specified offset after the scheduled start.

  • Auto clock-out after schedule end: creates a clock-out at the specified offset after the scheduled end.

Advanced

  • Employee timezone or Specific timezone: choose how to interpret schedule and offsets.

  • Has recurrency: repeat the rule on a cadence when needed.
