Set up auto scheduling

The auto-scheduling feature helps managers quickly assign open shifts to employees based on specific configurations to ensure fairness, efficiency, and cost-effectiveness.

  1. Go to Scheduling.

  2. Open the Scheduler tab.

  3. Click the vertical ellipsis in the upper right cornerand click the Auto button .

Step 1: Things to consider

If no open shifts exist, you will be prompted to create them in the Shift Planner. Click Go to shift planner to add open shifts before proceeding.

Enable one or more options to guide how shifts are assigned:

  • Employee Time Off: Avoid assigning shifts that conflict with approved time off.

  • Employee Availability: Avoid assigning shifts that conflict with employee availability.

  • Compliance: Ensure scheduling rules and labor laws are respected.

  • Use Recommendation Engine: Favor employees with higher recommendation scores.

  • Cost: Favor employees with lower hourly wages.

  • Equal hours distribution: Balance hours among employees.

Step 2: Other options

Select additional preferences:

  • Allow employees to have more than one shift per day.

  • Only auto-schedule unpublished open shifts.

  • Only auto-schedule open shifts from specific days.

  • Filter shifts by defined criteria.

Step 3: Employees

Choose which employees should be included in the auto-scheduling process:

  • All employees: All listed employees are eligible.

  • Specific groups of employees: Limit scheduling to selected groups.

Step 4: Save configuration

Save your settings by clicking Finish so they can be reused in future auto-scheduling runs.

Step 5: Summary

After running auto-scheduling, a summary appears showing:

  • The number of shifts assigned.

  • The number of published or unpublished open shifts.

  • Any shifts that could not be matched.

Click Exit to finish.
