The Profile Designer in WorkEasy Software allows administrators to configure the layout and available fields within an employee’s profile. You can customize personal information fields, set up required credentials, manage time off balances, attach documents, and more—all from a centralized interface.
Accessing Profile Designer
Go to Global Settings > HR Data Management > Profile Designer to open the Profile Designer.
Tabs and Configuration Options
Personal
Customize fields such as:
First, Middle, and Last Name
Employee ID
Date of Birth, Gender, SSN
Language, Contact Details, Address
Additional custom fields (e.g., Education, Social Media, Travel Visas) can be added from the left-side Toolbox and activated by dragging them into the form.
Employment
Configure employee status and job details:
Status, Hire Date, Termination Eligibility
Job Titles, Employee Type, Pay Rate, FLSA Code
Pay Schedule and Company Structure (e.g., Location, Department)
Settings
Settings are grouped by module (e.g., Time and Attendance, Human Resources, Scheduling). Each section lets you define employee-specific configurations such as:
Shift preferences
Rounding rules
Break settings
Reporting hours
Time off configuration
Credentials
Use this tab to set up:
Biometric authentication (fingerprints)
Facial recognition
Card swipe
Clocking PIN (with '123' icon)
You can enable, disable, or modify these credentials for each employee. Green icons indicate successfully registered credentials.
Time Off
Displays available and used balances for Sick, Vacation, and other categories. Managers can:
Review time off usage
Adjust balances
Submit requests on behalf of employees
Benefits
Track benefit enrollments by period:
View required actions (e.g., open enrollment)
See current and prior plan details
Contribution breakdown: employee, employer, total cost
Deduction frequency timeline
Trainings
Manage employee participation in training programs:
Track current, upcoming, and completed sessions
View program name, duration, coordinator, and measurement type
Notes
Add internal notes tied to the employee's profile (e.g., disciplinary actions, recognition (e.g., Employee of the Month). Each entry includes the author, timestamp, and tags, and can be edited or deleted.
Documents
Organize files into folders. You can upload, download, edit folder names, or delete files from this view.
Assets
Track assigned equipment or access rights (e.g., laptops, scanners, time clocks).
Permissions
It allows you to define visibility and edit access for each field. For each data field, you can configure who can view or modify the field.
Icons represent visibility (eye icon) and edit rights (pencil icon). These controls ensure sensitive information is only accessible by the appropriate roles.
Mobile Settings View
The Profile Designer lets you preview and configure the layout for mobile devices. To switch to the mobile view, click the mobile device icon in the Toolbox header (highlighted with an arrow in the UI). This view helps you ensure mobile users can easily access and complete fields without formatting issues.
Mobile preview supports streamlined arrangements of profile fields. It provides better visibility into how different sections will behave on smaller screens, enhancing usability for employees accessing their profiles via smartphones or tablets.
