This guide is for managers and administrators who need to create and manage multiple pay schedules in the Time and Attendance This guide is for managers and administrators who manage employee payroll cycles in the Time and Attendance product. It explains how to create and organize multiple pay schedules for any frequency — weekly, biweekly, semi-monthly, monthly, or custom — and how to apply best practices for accurate time tracking and payroll calculations.

The biweekly example in this article is just one of several possible configurations.

  1. Go to Global Settings > HR Data Management > Pay Schedule.

  2. If your organization requires two biweekly pay periods (for example, Bi-Weekly 1 and Bi-Weekly 2), click the Add button to create a second schedule.

  3. Enter a name (such as Bi-Weekly 2), select the Type as Bi-Weekly, and click Save.

  4. Repeat the same process to add additional pay periods for any other frequency as needed.

  5. In Pay Period Configuration (under Global Settings > Time Tracking), click the ellipsis button and select Add to define the pay period details. Enter a name, select or enter all relevant values, and click Save. For more details, go to Configure or Change a Pay Period.

Best practices for multiple pay periods

If your organization uses more than one pay period, keep these best practices in mind:

  • You can add as many pay periods as needed, as long as each pay schedule has a unique name.

  • Create additional pay periods only when necessary for different groups, such as separate departments, locations, or union and non-union employees.

  • Use clear, consistent names (for example, Bi-Weekly 1, Bi-Weekly 2, or Monthly East, Monthly West) to make schedules easy to identify.

  • Ensure pay period dates do not overlap to avoid duplicate timesheets and payroll errors.

  • Assign each employee to the correct pay schedule in their profile settings.

  • Regularly review and archive unused pay periods to keep your configuration clean and accurate.

This flexibility allows you to manage multiple teams or payroll cycles efficiently across any pay frequency.

Schedule types

  • Weekly: Employees are paid every week.

  • Bi-weekly: Employees are paid every two weeks.

  • Semi-monthly: Employees are paid twice a month, typically on the 1st and 15th.

  • Monthly: Employees are paid once a month.

  • Four week: Employees are paid every four weeks.

  • Custom cycle: You define the number of days in each pay period.

Use pre-set schedules when one cadence covers most employees. Use the Add action to create additional schedules of any type for different groups or date anchors. For example, you can maintain two biweekly schedules that start on different weeks.
