Adding Shift Templates

Shift Templates are ready-made shifts that can be easily dragged and dropped into the calendar. Shift Templates offer a fast and efficient method to incorporate shifts while using the Scheduler or Shift Planner. These templates can be accessed from the Shift Templates option in the Left Navigation or directly within the Scheduler or Shift Planner when adding shifts.

Creating Shift Templates

  1. On the left nav, click Scheduling > Plan. We're using Locations Plan for this example.
      

  2. Select the Shift Templates tab.

  3. Click the ellipsis > Add.
      

  4. Enter and select all the pertinent information. For more details, refer to the table Shift Templates Settings.

Setting

Description

Name

The display name of the Shift Template stored in the Shift Templates tab.

Color

The color used to represent the shift on the Scheduler.

Start Time

The shift’s starting date and time.

End Time

The shift’s ending date and time.

Criteria

Determined by the Schedule Criteria assigned to the related Schedule Plan (e.g., Location, Department).

Job Selector

Selects a job to assign to the shift.

Requires Enable Job Selection to be enabled in the related Schedule Plan.

Est. Break (min.)

The estimated break duration for the shift (in minutes).

  • Used for Planned Hours Totals accuracy in the Scheduler.

  • Does not automatically deduct break time from hours worked on timecards.

Is Critical

Marks a shift as "Critical" for classification and workflow decisions.

Notes

Comments displayed in Shift Details and included in employee alerts.

Applying the Shift You've Created

You can select the Shift Planner (for planning purposes) or Scheduler (actual live calendar) tab.

Scheduler Tab

  1. Select the employee, click the ellipsis > Template.

  2. Select a template and click Select.

  3. Drag and drop the new shift to another date and employee(s) to replicate the template in their schedules, if necessary. You can also reset, edit, or view its details.
    When dragging and dropping, if the background is:
    - Light orange, the employee does not meet the schedule plan criteria.
    - Light blue, the employee meets the schedule plan criteria. 

  4. Click Publish.
      

  5. You have the opportunity to review your selections here. If everything looks okay, click Publish.
      

  6. Once published, you can edit, save, copy, or archive the schedule you've created.

Shift Planner Tab

  1. After creating the new shift template, click the documents icon.
      

  2. Select the applicable shift template. Click Select.
      

  3. The template populates on the day you've added it.
      

  4. If desired, click the Weekly by Criteria dropdown and make your selection to use the applicable shift planner view.
      

  5. If needed, drag and drop the new shift to a different date. You can also reset, edit, or view its details.
    When dragging and dropping, if the background is:
    - Light orange, the employee does not meet the schedule plan criteria.
    - Light blue, the employee meets the schedule plan criteria. 

  6. Click Publish.
      

  7. Click Publish.
