How to Create Schedule Plans
Schedule Plans are calendars for employees to be scheduled. Multiple calendars can be created, and employees can be assigned to different calendars. Calendars can be added with different Schedule Criteria, or rules, in which employees need to be scheduled. To create a Schedule Plan, your WorkEasy Software needs to have the Scheduling module.
- Navigate to Global Settings > Scheduling > Schedule Plans.
- Click Add.
- Enter the needed information for Name, Description, Effective start, Effective end, and Time zone.
- Effective start is the starting date for adding schedules. It can be backdated, but once it's added, it cannot be changed.
- Effective end should only be changed if this calendar has an end date. Schedules cannot be added after the effective end date.
- Select the Schedule criteria (explained here: How to Create Schedule Criteria)
- Make the applicable Workflows selections.
- Make the applicable Scope selections.
By default, all Custom Fields and all Groups are assigned to the calendar. Here you can restrict the calendar to only employees with certain Custom Fields or Groups assigned.
- Custom Fields explained here: How to Add Custom Fields
- Groups explained here: How to Manage Security Groups
- Make the applicable Advanced Settings selections.
- Allow publish with jumps:
- If selected, it can publish schedules in future weeks before the current week's schedules are published.
- If not selected, it cannot publish schedules in future weeks before the current week's schedules are published.
- Enable job selection:
- Enables the Job Selector when adding shifts.
- Recommendation engines:
- The selected one will be used by the Schedule Plan.
- Days in advanced patterns are created:
- Total days ahead you can view in the Scheduler. For instance, when entering 15, shifts 15 days in the future can be viewed.
- Est. Break (min.):
- Default break displayed when adding shifts. The break time entered is only used for “Planned” hours totals accuracy in the Scheduler.
- Entering a break time will not deduct the break automatically from the hours worked on the timecards.
- Allow publish with jumps:
The new Schedule Plan will be displayed in the Left Nav's Scheduling.
You're done! 😊👍
