How to Sync Calendars

Overview

The Calendar Sync feature allows you to share published shifts within WorkEasy Software with an external application that supports calendars such as Google Calendar, Outlook, and iCalendar. This one-way integration synchronizes and sends published shift details from the Scheduler and My Schedules. 

Syncing the Scheduler for Managers


Managers can sync the WorkEasy Scheduler with an external calendar application. The scope of the employee schedules is limited to the manager's Security Group Privilege scope. For example, if a manager has the privilege to view only one location, the employee schedules synced will be limited to that location. 

Syncing the Scheduler for Employees


Employees can sync the My Portal schedules with an external calendar application. However, they cannot view the published shifts of other employees. 

Navigation for Managers

  1. Click Scheduling in the product area menu.

  2. Click Default > Scheduler.
  3. Click the ellipsis     and select Sync to Calendar.

Navigation for Employees 

  1. Click My Portal > Schedules.
  2. Click the ellipsis    and select Sync to Calendar.

Configuration

  1. Click    to copy the URL to the clipboard.
  2. Paste the URL somewhere temporarily. For instance, you can use Notepad.

Google Calendar

  1. Click the the + next to Other calendars.
  2. Click From URL.
  3. Paste the URL to the URL of calendar field.
  4. Click Add calendar.

Microsoft Outlook

  1. Click Add calendar.
     
  2. Click Subscribe from web. Paste the URL and give the calendar a name. Click Import.

Apple Calendar

  1. Under File, select New Calendar Subscription.
  2. Paste the iCal feed URL from WorkEasy Software and select Subscribe.
  3. Adjust the calendar settings as desired.
