How to Edit Shifts within a Weekly Pattern

Weekly patterns are a powerful scheduling feature that allows administrators to define and automate recurring employee shifts. Instead of manually assigning shifts every week, you can create a predefined schedule that repeats over a set period—weekly, bi-weekly, or any pattern you choose. This is particularly useful for employees who follow a consistent schedule or a rotating shift pattern.

This guide explains weekly patterns, when to use them, and how to create, edit, or remove them to support different business needs.

What Are Weekly Patterns?

Weekly patterns define a recurring schedule for one or more employees. For example, if an employee works Monday to Friday from 9 A.M. to 6 P.M., and this schedule repeats every week, you can set this up as a weekly pattern. Once applied, the system automatically generates future shifts based on the pattern without requiring manual entry.

Common Use Cases:

  • Fixed weekly schedules

  • Alternating shift patterns (e.g., day shift one week, night shift the next)

  • Predictable staffing needs for new hires

Creating a Weekly Pattern

  1. Go to Scheduling and select a calendar with no active schedules to start fresh.

  2. Assign shifts to employees using the drag-and-drop scheduler or shift templates.

  3. Once the full week is scheduled, click the ellipsis > Weekly Patterns.

  4. Name the pattern, define recurrence (e.g., weekly), and choose a Publish Behavior option:

    • Without workflow (no notifications)

    • With workflow (notifies employees)

  5. Optionally, set an end date or leave it as Infinite (ongoing).

  6. Save the pattern. Shifts will auto-populate future weeks based on the defined recurrence.

Note: Shift generation is limited to a default 15-day window unless adjusted in Global Settings. Technical Support can increase the limit up to six months.

Editing a Weekly Pattern

Edit Scenario 1: Update an Existing Employee’s Future Schedule

To apply a shift change that should recur moving forward:

  1. Open the Weekly Patterns panel.

  2. Click the ellipsis > View shifts.

  3. Find the employee and select the specific day to update.

  4. Click the three-dot menu and choose Edit.

  5. Adjust shift time, color, position, or location as needed.

  6. Save the changes. The new shift applies in future weeks.

Do not use this method for one-time changes—make those directly in the scheduler.

Edit Scenario 2: Add a New Employee to an Existing Pattern

  1. Open the weekly pattern.

  2. Click the three-dot menu and select Add.

  3. Select the employee and the days of the week they work.

  4. Define their shift times, location, and department.

  5. Save the entry to include the employee in the recurring pattern.

Edit Scenario 3: Remove an Employee or Shift from the Pattern

  1. Open the weekly pattern and select the employee’s shift to remove.

  2. Click the three-dot menu and choose Archive.

  3. Save the pattern. The shift will no longer recur.

For removing a shift on a single day, delete it directly in the scheduler.

Best Practices

  • Use weekly patterns only for recurring, predictable shifts.

  • Carefully plan the initial schedule before saving it as a pattern.

  • For rotating schedules, create multiple weekly patterns with staggered start dates.

  • Avoid editing weekly patterns for one-off changes—use the scheduler instead.
