This document provides a concise guide to integrating SAP SuccessFactors with WorkEasy Software. In addition to important configuration stages for data mapping, personnel synchronization, and punch configuration, it covers requirements such as setting up Group Structure and SAP credentials. To guarantee smooth synchronization and integration between the two systems, please follow these instructions.
Prerequisites
- Have your SAP SuccessFactors credentials provided by your SAP account manager (https://support.sap.com/en/contact-us.html).
- Have a Group Structure set up as seen here:
Connecting to SAP SuccessFactors
- Navigate to Global Settings > Integrations > SAP SuccessFactors.
- Click Start.
- Enter the required credentials, sent to you by your account manager, and click Connect.

Mapping Data
- Perform the mapping according to your needs. Keep in mind that WorkEasy's field values are not the same as the ones in SAP. See Mapping of SuccessFactors Fields for Employee Data to SAP ERP to view the fields that SAP offers.
- Pay Period Mapping
Set the employment type number that will be used by default when employees are imported from SAP SuccessFactors. - Pay Period Frequency
The default number will be set for all imported employees when they are created. You can change this information in WorkEasy later in the employee record. - Advanced Mapping Options
All employees that are imported will be saved as Full-Time, Hourly Non-Exempt, with no pay rate and the basic settings that were chosen. In the WorkEasy employee profile page, you can change this information at a later time. You can also use the advanced mapping tools listed to set default values for Groups, Employment Type, and Compensation. - Organizational Groups Mapping
By default, the selection is No, which means that the location was mapped automatically because it is a required field in WorkEasy. To bring optional details such as department, division, company, and business unit, select Yes.
- Pay Period Mapping
Synchronizing Employees
- Define who on the SAP SuccessFactors team should be added to WorkEasy Software. The default radio button selection is All Employees.
- Selecting the radio button Specific group of employees opens different tabs to choose from: Location, Department, Division, Company, and Business Unit. Only employees from the groups you chose will be linked. The integration will use the employee ID to connect them to both systems. This means that if the employee imported from SAP already exists in WorkEasy, the system will not make a new profile for them.
- Existing Employees Imported from SAP SuccessFactors Behavior
If you want to update employees' demographics in WorkEasy with data from SAP SuccessFactors, the default selection is Yes. If an employee's profile in SAP is changed, those changes will also show up in WorkEasy. - If you select No, WorkEasy will not change employees' demographics.
Configuring Punches and Hours
Important❗
- The punches are calculated by SAP.
- Request from your SAP account manager the list of punch types that should be used in the SAP SuccessFactors Punch Types fields.
- Enter the applicable SAP SuccessFactors punch types.
- Click Save.
Synchronizing all details
Simply click Synchronize.
Use Case
The employee's details, such as Company, Department, Business Unit, and Division, provide the data that we need to make our selections on the Employee Synchronization page.
