How to Change an Employee and a System User Email Address

Our software has two categories of users: Employee Portal Users and System Users. Employee Portal Users have access to My Portal as employees. System Users have access to the software as administrators.  These instructions show you how to change email addresses in both scenarios.

Employee Portal Users

  1. Click System Security > Employee Portal Users.
  2. Click Unlink User.

    Unliking a user breaks the link between the old email address and System Security.
  3. Next, click Add User. Enter a new Email for that user and select a Security Group and Language & Region. If necessary, update the Preferred Name field and select the Super Admin checkbox.

    Important
    If you select the Super Admin checkbox, this employee will have access to the software as an administrator.
  4. Click Save.
  5. While here, if you decide that you want to go back and edit this information, click Edit User.
  6. Click Save.

    Important❗
    You can only change Preferred Name, Security Group, Language & Region, and Super Admin here, but you cannot change the email address. To do so, you will need to unlink the active user, as shown in Steps 2–4 above.

System Users

A system user's email address can not be edited. Instead, it must be archived, and a new user must be added.

Important❗ Before archiving a system user's email address, make sure it is not linked to an employee portal user. If the email is linked to an employee, follow steps 1-2 above to unlink an Employee Portal User

  1. Select the applicable user and click Archive.
