How to Add & Assign Shifts to the Scheduler
Shifts are defined and assigned to employees in the Scheduler. Once added (Published), the software knows when an employee is supposed to clock in and the duration of their shift. This way, managers can be alerted if employees arrive late, leave early, or are absent.
This article shows you how to add Shifts to the Scheduler. At the end of this article, you will find a table describing the settings.
- On the Left Nav, click one of your calendars, then click Scheduler. Our calendar for this example is Location Plan.
- Mouse over the applicable day on the Scheduler and click the + sign.
- Make your selections to configure the schedule as needed. Click Save. This change is now in draft mode.
- The draft mode is identifiable by the grayed-out background. Once the schedule draft is saved, you may select Details, Edit, or Reset if necessary.
- Shifts can be copied across multiple days and employees of the same week. To do so, press Alt + Shift for Windows or Shift + Option for iOS and drag with your mouse.
- Once you're done, click Publish.
- Review the changes and click Publish.
Notes: When reviewing the changes, you can select and filter employees.
To add/change scheduling criteria, you need to go to Global Settings > Employee Scheduling > Schedule Criteria. - Notice that the area that was grayed out before publishing (Draft) is now a solid white (Published).
- Once the schedule is published, you may select Details, History, Edit, and Archive.
- Employees then receive an email with the shift details.
What do the settings mean?

Start | Starting date and time of the shift |
End | Ending date and time of the shift |
Organization Groups |

Is critical | Marks the shift as "Critical" for use within a Workflow |
Break (min.) | Defines a break time within the Shift |
Notes | Displayed in the Shift details and in the alert sent to employees |
Save as Shift Template | The Shift Template can be dragged & dropped into the Scheduler. |
