WorkEasy acts as a service provider processing biometric data solely as directed by customers. WorkEasy Software offers workforce management solutions that may incorporate biometric-enabled features, such as fingerprint or facial recognition, for identity verification and time tracking. These solutions include, for example, the Xenio 200®, Xenio 500®, and Xenio 700® fingerprint time clocks; the Xenio F1000®, Xenio M2000®, and Xenio P3000® facial recognition time clocks; palm vein recognition on the Xenio P3000®; and other Mobile and Kiosk biometric-enabled devices. Depending on where and how biometric-enabled features are used, customers may be subject to biometric privacy laws, such as the Illinois Biometric Information Privacy Act (BIPA), the Texas Capture or Use of Biometric Identifier Act (CUBI), or other applicable requirements. ## WorkEasy Software's Role WorkEasy Software operates as a service provider that processes biometric identifiers and biometric information, collectively referred to as biometric data, solely at the direction of its customers. WorkEasy Software does not independently collect or determine the purpose for processing biometric data. Instead, its technology enables customers to configure and use biometric-enabled features within their own operations. WorkEasy Software limits its use of biometric data to what is necessary to provide its services. WorkEasy Software does not sell, lease, trade, or otherwise profit from biometric data and applies safeguards aligned with applicable data protection standards. WorkEasy Software's customer agreements further address how biometric data is to be handled. ## Customer Responsibilities Because customers determine how and why biometric data is collected and used within their organizations, WorkEasy Software's agreements reinforce that customers are responsible for determining whether their use of WorkEasy Software solutions is subject to BIPA, CUBI, or other applicable biometric privacy laws. Depending on applicable requirements, customer responsibilities may include: - **Providing Appropriate Notice** — Informing individuals about the collection and use of biometric data as required by applicable law. - **Obtaining Required Consent** — Obtaining any notices, acknowledgments, or consents required before collecting or using biometric data. - **Managing Retention and Deletion** — Establishing and implementing retention and deletion practices that meet applicable legal requirements. - **Evaluating Applicable Requirements** — Ensuring the organization's use of biometric-enabled features remains consistent with applicable laws and evolving regulatory frameworks. ## How WorkEasy Supports Customers WorkEasy Software has implemented measures designed to support its obligations under biometric privacy laws that apply directly to its role as a service provider. These measures include: - **Customer-Directed Processing** — Biometric data is processed solely for purposes directed by the customer and as necessary to provide WorkEasy Software services. - **Data Protection** — WorkEasy Software maintains appropriate information security measures designed to safeguard biometric data. - **Restrictions on Use** — WorkEasy Software does not sell, lease, trade, or otherwise profit from biometric data. - **Customer Resources** — WorkEasy Software may provide practical resources, including sample notice or consent language, to assist customers in evaluating their compliance processes. ## Biometric-Enabled WorkEasy Solutions **Fingerprint Recognition** — Certain WorkEasy time clocks support fingerprint recognition for identity verification and time tracking. Supported devices include the Xenio 200®, Xenio 500®, and Xenio 700® fingerprint time clocks, and the Xenio P3000®. **Facial Recognition** — Certain WorkEasy solutions support facial recognition for identity verification and time tracking. Supported devices include the Xenio F1000®, Xenio M2000®, and Xenio P3000® facial recognition time clocks, as well as other supported Mobile and Kiosk biometric-enabled devices. **Palm Vein Recognition** — The Xenio P3000® supports palm vein recognition for identity verification and time tracking. ## Important Compliance Considerations Biometric privacy requirements vary by jurisdiction and may evolve over time. WorkEasy Software strives to support customers with technology, safeguards, and practical resources, but does not provide legal advice or independently verify a customer's compliance with biometric privacy laws. Any sample notice or consent language provided by WorkEasy Software is offered as a convenience. Customers should review such materials with their own legal counsel to determine whether they satisfy applicable requirements. Ultimately, customers remain responsible for determining and fulfilling their legal obligations related to the collection, processing, retention, deletion, and use of biometric data. ## Related - [Configure and Use the Sleep Timer on Time Clocks](/configure-and-use-the-sleep-timer-on-time-clocks.md) - [Xenio P3000 Installation Guide](/xenio-p3000-1.md) - [Permissions and Settings](/permissions-and-settings.md)
