You can create one-time, recurring, or custom holiday schedules and assign them at the company, group, or individual employee level. 1. Navigate to **Global Settings** > **Time Off** > **Holidays**. ![](https://cdn.us.document360.io/88d7ebef-752e-45d9-95e1-ee13bd7279c5/Images/Documentation/image-GFJMUTRD.png?sv=2026-02-06&spr=https&st=2026-11-01T14%3A09%3A14Z&se=2026-11-01T15%3A09%3A14Z&sr=c&sp=r&sig=WsE6acmxiHwgAkPmblFVJLGGlEd5pTDpsKuhB29nnIs%3D) 2. For our example, we’ll create the holiday rule *Christmas Eve - Everyone*. 4. Select the date the holiday rule will be **Starting on**. The holiday will begin applying based on this date. 5. In the Holiday pane, complete the holiday details: - **Name**: How the holiday will appear on schedules and timesheets. - **Holiday Type**: Choose **One Time**, **Recurring**, or **Advanced**. The fields change depending on the selected type. Refer to [Definitions of each Holiday Type](/docs/adding-holidays#additional-holiday-configuration-details). - **Observed Date** (One Time only): Select the exact date for a single-use holiday. - **Holiday Hours Paid**: Choose **Full Day**, **Half Day**, **Specific Hours**, or **Override Full/Half day hours with scheduled hours**. 7. Click **OK** to add the holiday to the rule. ![](https://cdn.us.document360.io/88d7ebef-752e-45d9-95e1-ee13bd7279c5/Images/Documentation/image-XXYTCUFL.png?sv=2026-02-06&spr=https&st=2026-11-01T14%3A09%3A14Z&se=2026-11-01T15%3A09%3A14Z&sr=c&sp=r&sig=WsE6acmxiHwgAkPmblFVJLGGlEd5pTDpsKuhB29nnIs%3D) 8. Once saved, holidays will appear on employees’ **Scheduler** and **Timesheets**. ## Edit a Rule Select the rule you need to edit and click the pencil icon. ![](https://cdn.us.document360.io/88d7ebef-752e-45d9-95e1-ee13bd7279c5/Images/Documentation/image-JBMWXHL6.png?sv=2026-02-06&spr=https&st=2026-11-01T14%3A09%3A14Z&se=2026-11-01T15%3A09%3A14Z&sr=c&sp=r&sig=WsE6acmxiHwgAkPmblFVJLGGlEd5pTDpsKuhB29nnIs%3D) ### Holiday configuration details #### **Assignment level hierarchy** **Everyone** Applies the holiday rule to all employees in the company by default. **Group** Applies the holiday rule only to employees in the selected group and overrides the Company rule for those employees. **Employee** Applies the holiday rule only to the selected employee and overrides both Company and Group rules for that employee. If multiple rules apply, the **most specific** level (Employee > Group > Everyone) takes priority. ![](https://cdn.us.document360.io/88d7ebef-752e-45d9-95e1-ee13bd7279c5/Images/Documentation/image-KL4VRJ4I.png?sv=2026-02-06&spr=https&st=2026-11-01T14%3A09%3A14Z&se=2026-11-01T15%3A09%3A14Z&sr=c&sp=r&sig=WsE6acmxiHwgAkPmblFVJLGGlEd5pTDpsKuhB29nnIs%3D) #### **Definitions of each Holiday Type** **One Time** Use this for holidays that occur on a single date and do not repeat. Examples: a one-time company closure, an extra day off for a special event. **Recurring** Use this for holidays that repeat on a predictable schedule every year. Examples: Christmas Day, Independence Day, Labor Day, Thanksgiving. **Advanced** Use this for custom or complex holiday schedules that do not fit the standard recurring options. Examples: floating holidays, industry-specific holidays, or schedules that depend on more than one rule. ![](https://cdn.us.document360.io/88d7ebef-752e-45d9-95e1-ee13bd7279c5/Images/Documentation/image-8DLQPT7Z.png?sv=2026-02-06&spr=https&st=2026-11-01T14%3A09%3A14Z&se=2026-11-01T15%3A09%3A14Z&sr=c&sp=r&sig=WsE6acmxiHwgAkPmblFVJLGGlEd5pTDpsKuhB29nnIs%3D) **Use One Time when:** You need a holiday for a single date that will not repeat, such as a special company holiday, building maintenance closure, or one-off celebration. **Use Recurring when:** You are setting up standard public or company holidays that repeat every year, such as New Year’s Day, Christmas, Labor Day, or other fixed yearly holidays. **Use Advanced when:** You need more control than a simple yearly recurrence, such as floating holidays, rotating schedules, or rules like “the first weekday after the end of the quarter.” #### **How Holiday Hours Paid works** **Full Day** Uses the employee’s expected full-day hours for that day (for example, 8 hours if the expected workday is 8 hours). **Half Day** Uses half of the employee’s expected daily hours (for example, 4 hours if the expected workday is 8 hours). **Specific Hours** Allows you to enter an exact number of paid holiday hours (for example, 3 hours for a partial holiday). **Override Full/Half day hours with scheduled hours** Uses the duration of the employee’s scheduled shift on that date instead of the default full- or half-day hours. Helpful when employees have different shift lengths on the holiday. ![](https://cdn.us.document360.io/88d7ebef-752e-45d9-95e1-ee13bd7279c5/Images/Documentation/image-RJLE54TO.png?sv=2026-02-06&spr=https&st=2026-11-01T14%3A09%3A14Z&se=2026-11-01T15%3A09%3A14Z&sr=c&sp=r&sig=WsE6acmxiHwgAkPmblFVJLGGlEd5pTDpsKuhB29nnIs%3D) #### **How holiday hours interact with overtime and comp time** Holiday hours do not count toward overtime or comp time unless the appropriate holiday time code is first created in **Global Settings** > **Time Tracking** > **Time Code List**, and then added to the **Consider the following time codes** list in the corresponding **Overtime** or **Compensatory Time** rule. By default, both overtime and comp time use only **Worked Hours (WH)** to determine eligibility. If you want holiday hours to affect overtime or comp time calculations, the administrator must ensure the correct holiday time code exists, add it to the applicable rule, and then review employee timesheets and reports to confirm the expected behavior. #### **Troubleshooting missing or incorrect holiday hours** If holiday hours are missing or incorrect, check: - **Assignment level**: Ensure the employee is covered by the rule (Everyone, Group, or Employee) you configured. - **Effective date**: Confirm the rule is active before the holiday date. - **Holiday Type and recurrence pattern**: Verify the correct day, month, and recurrence options. - **Holiday Hours Paid**: Make sure the selection (Full Day, Half Day, Specific Hours, or Override) matches what should be paid. - **Assignment hierarchy**: Employee-level rules override Group and Company rules. #### **Where holidays appear in WorkEasy** After a holiday rule is saved, holidays appear in: - **Scheduler**: Holiday labels appear on the calendar for the holiday date. - **Timesheets**: A separate holiday row appears for each holiday date. - **Reports**: Holiday hours may appear as a separate category depending on report settings.
